Organizer and on-site host · Booking communication
Private-party dancer booking when the organizer cannot attend
You may be arranging a celebration for friends in another city or helping a group whose local host is someone else. Before making a request, ask whether that arrangement is acceptable and who must be present. A reachable on-site host needs a clear practical handoff; copying everyone into a group chat leaves important responsibilities unresolved.
Separate the organizer, arrival host and guest of honor
The person making the request may not own the property, greet the entertainer or be the person being celebrated. Tell the booking contact which role each person will have. Ask whether the customer must attend and what approval is needed for a different arrival host. Do not assume that arranging a surprise gives the guest of honor’s agreement to participate.
The on-site host should know the property rules, be able to meet the assigned entertainer and be willing to handle practical questions. The guest of honor should not discover an unexpected responsibility for access, equipment or payment when the entertainer arrives. Keep participation optional for each adult and discuss the proposed format in advance.
Ask before sharing the host’s contact details
Choose the host with their agreement and ask which contact route they are comfortable using for event coordination. Provide necessary details through the established private booking conversation. Keep home addresses, entry codes, identity documents and payment credentials out of public comments and general invitations.
Give the host only the information needed for the handoff. Forwarding the entire booking thread can expose unrelated private conversations or payment details. Never share an account password or customer approval link so another guest can act as the organizer. Ask the booking contact how the host should be introduced and which decisions require the customer’s direct response.
Write a short private host brief
| Topic | What the host needs | What must not be assumed |
|---|---|---|
| Event status | The actual date, local time, location and latest direct booking response | An inquiry or sent email is not a confirmed reservation |
| Arrival | Permitted entrance, meeting point and reachable backup host | A property reservation does not establish entertainment permission |
| Performance scope | Agreed format, duration and boundaries, plus open questions | Guests cannot add services or extend time by consensus alone |
| Equipment | Who supplies and operates the agreed music setup | The entertainer is not automatically bringing a sound system |
| Payment arrangement | The agreed amount, recipient and timing relevant to the host’s role | A screenshot or someone’s statement does not verify receipt |
| Changes and problems | The booking contact and decisions requiring the customer | The host brief does not create authority to change terms |
Introduce the proposed host clearly
A short message can make the arrangement easier to review:
“I am organizing the proposed event for [date, local time, city/state] and may not be present. With their permission, I would like [host name] to be the on-site arrival contact. Please confirm whether this arrangement is acceptable, which information you need privately, whether I must attend, and which decisions require my direct approval. This message does not change the event details or confirm the booking.”
Wait for the actual response before treating the handoff as accepted. Tell the host what was agreed and what remains unresolved. If the host changes, update the booking contact rather than assuming the entertainer will recognize a new name from a group message.
Keep money and approval responsibilities explicit
Ask how the reservation payment and the agreed direct payment to the arriving entertainer are handled under the actual terms. If the host is expected to handle an agreed payment, make sure they understand and accept that practical responsibility before the event. Do not circulate card details or account credentials to make the arrangement easier.
If a different price, location, duration or service is proposed, route it to the proper customer decision-maker. The host should not describe the change as approved while awaiting a reply. Cancellation, refund and disputed-charge questions belong with the booking contact and applicable terms; this worksheet does not change those rights or establish a payment outcome.
Plan for the organizer becoming unreachable
Ask what the host should do if they cannot reach you. Agree on the communication route and identify which unresolved questions require a pause. Do not tell the host to improvise a different location, promise extra compensation or pressure the entertainer to continue while an issue is being discussed.
Keep the host focused on the agreed arrival and event plan. All participants must meet applicable adult-age requirements, respect personal and performance boundaries, and obtain separate agreement for recording. No sexual services are offered. An absent organizer cannot supply another adult’s consent.
Connect the brief to the actual location
For a Los Angeles request, use the arrival worksheet alongside the existing Los Angeles gallery and California state gallery. Crown M3 is a reference profile linked from that city gallery; it communicates a preference, not verified availability or attendance. Confirm the actual entertainer arrangement for the date directly.
The music setup guide helps assign playback responsibility. If details change, use the time-and-address worksheet. For the first inquiry, use the request-information checklist.
