Venue and event permission
Ask the property owner, hotel, or venue whether the planned entertainment and outside vendors are permitted. Confirm rules about visitors, sound, performance areas, alcohol, filming, and end times. If the venue requires insurance or vendor documentation, learn that before booking.
Event details to gather
Have the event date, start and end time, neighborhood or venue, adult guest count, event type, preferred lineup, performance area, access instructions, parking details, and a day-of contact ready. Avoid sharing sensitive personal details until you know who will receive them and why.
Guest comfort and performer boundaries
Let guests know what type of entertainment is planned. Make participation optional, establish photography expectations, and communicate boundaries clearly. The host should be ready to redirect guests if anyone disregards the agreed terms.
Written booking details
Request the provider’s identity and contact information, performer count and format, set duration, arrival window, total price, additional fees, payment schedule, cancellation and rescheduling rules, and what happens if a scheduled performer cannot attend. Save the written confirmation and payment receipt.
Day-of run sheet
Name one host as the contact; confirm entry and setup instructions; share the schedule with the venue and relevant guests; keep the performance area clear; and have a backup plan if the schedule changes.
