Start with the group
Think about who will attend, what the guest of honor would enjoy, and whether the group prefers one performance style or a variety. If you are planning a surprise, keep it within the guest of honor’s comfort and avoid assuming everyone wants to participate.
Compare the basic formats
Male performers may fit events where the group has requested that style of entertainment. Female performers may suit groups seeking a different performance style. Mixed lineups can offer variety, but may involve more coordination around timing, availability, space, and total cost. Ask the provider to explain exactly what its lineup terms mean.
Check space and schedule
Consider room size, sound limits, audience layout, parking and access, and where the performance can happen without blocking exits or disrupting other guests. For multiple performers, ask how sets are scheduled and whether there is a changeover.
Make expectations explicit
Before confirming, write down the number of performers, set length, music or equipment needs, interaction boundaries, photography rules, arrival window, total price, deposit, and cancellation terms. Ask who is responsible for confirming venue permission.
A quick decision guide
Choose a format the guest of honor is comfortable with; confirm venue permission; ask for real availability rather than assuming it; compare full written terms; and appoint one host to handle questions on event day.
